One of the keys of making it easy for your potential clients to register for Natural Family Planning courses is an easy and efficient way to find a course that meets their location and time needs. NFPOffice accomplishes this by having a Course Search panel enabling your clients to search for courses by date range, city, teaching location, type of course (for instance, introduction or class series) and NFP method. Matching courses are displayed with their dates as well as a Google Map link to the location.

Clients can register for one or more classes at a time. They have the option to charge their credit card on-line or to just reserve a place in the course if they want to pay by check or call in their credit card information. Your office staff can register a client on their behalf using the same process. Once a check is received in the office, they can use the administrative screens to record payment.

The registration website is fully bilingual. On each web page, there is a link to switch between English and Spanish. When viewing English, only courses taught in English are displayed. When viewing Spanish, only Spanish courses are displayed.

The NFPOffice administration website simplifies the process of managing your courses and clients. To ease the task of scheduling multiple courses of the same type over the year, you define a course template which includes:

  • the type of course (e.g. introduction, class series, etc),
  • course description
  • NFP method,
  • language,
  • registration fee,
  • other course that is a prerequisite, and
  • the number of classes in the course

Then, to schedule a course, you simply select the course template, set the class dates, pick the teaching facility from a list, set the capacity, and select the instructor from a list. It takes only a minute or two to enter a scheduled course and it becomes available on the registration website immediately.

There are several lists that you maintain to make scheduling easier. They are:

  • Cities - used when clients search for courses,
  • Teaching Facilities - also used in the course search,
  • Methods - the NFP methods that your office supports, and
  • Parishes - used during registration and for reporting couples by parish

Once clients have registered for courses (or made a reservation), you can record scholarship amounts as well as update any client contact information. You can also view the course roster and print it.

After a class has been taught, your office staff or the instructor can record attendance on-line. Notes can even be recorded on the client level for each class. You can also print out attendance certificates to give to your clients as proof of attending the course. If a client needs to reschedule, you can move the client from one scheduled course to another - even if they have already attended one or more classes of a course.

You can send an email to everyone in a course that has not paid reminding them to contact you for payment. This email is automatically customized for each client by inserting the course information and their name in the email content.

Email Features

Keeping your clients informed via email

All of the emails the system generates are accessible to the administrator for customization. You can include merge tags in the email message to merge in client and course information.

There are several automatic emails that are triggered in the system. As your clients register for (or reserve) courses, they will automatically receive a confimation email including the course location, date and instructions. Before each class (the number of days are set by the administrator), clients and the facility contact are automatically emailed a reminder.

There are also emails which are triggered by the administrator. You can send an email to everyone in a course that has not paid reminding them to contact you for payment. This is normally done before the course starts. You can also send an email to the clients who have missed a class asking the client to contact you to reschedule them in another course. Typically, this is triggered after class attendance is taken.

Reporting Features

The NFPOffice administration web site includes reports on courses and credit card transactions. All reports allow you to enter a date range and can be downloaded to your computer if you want to open it with Microsoft Excel.

The Courses by Course Type report shows the number of scheduled courses, number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each course type in the given date range.

The Courses by Method report shows the number of scheduled courses, number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each NFP method in the given date range.

The Courses by City report shows the number of scheduled courses, number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each city where courses were held in the given date range.

The Courses by Facility report shows the number of scheduled courses, number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each teaching facility where courses were held in the given date range.

The Courses by Instructor report shows the number of scheduled courses, number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each instructor who taught courses in the given date range.

The Courses by Parish report shows the number of couples who signed up, number of couples who attended, number of scholarships, and scholarship value for each referring parish in the given date range.

The Transactions report is a detailed list of all the credit card transactions that were processed by the registration website and approved in the given time frame. The card holder name, date and time of the transaction, transaction number, and transaction value are displayed. This report is used to reconcile against your bank report.
